Proforma Invoice Forms and Templates
Before the deal is signed or the container is booked, you have the Proforma Invoice. It’s essentially a "pre-invoice" or a formal quotation. For forwarders and exporters, the Proforma is a crucial tool for getting the ball rolling. It helps the buyer get internal approvals, secure financing (like a Letter of Credit), or apply for import licenses before the goods even leave the factory floor.
What is a Proforma Invoice?
It looks like a Commercial Invoice, but it functions differently. It’s issued by the seller to the buyer before the shipment takes place. It lists the specs, price, Incoterms, and delivery timeline. The key difference? It’s not a demand for payment. It’s a "good faith" estimate. It says, "If you buy this, here is exactly what it will cost and how we will ship it."
Why use a Proforma?
It’s the blueprint for the transaction.
- For the Buyer: They can't just wire money internationally based on an email. Banks often require a Proforma to authorize a transfer or open a Letter of Credit.
- For Import Licenses: In strict markets, you need to show a Proforma to the government to get permission to import the goods in the first place.
- For Forwarders: It gives us the preliminary data we need to quote freight rates and check schedule availability.
